Policies & Procedures

1. VENUE DESCRIPTION & AMENITIES

1.1 Facility Overview. The Musipire Recital Hall is a newly renovated, professional chamber music venue located in Flushing, Queens, NY. The venue features:

  • Beautiful performance stage with professional theatrical lighting
  • Excellent acoustic design optimized for chamber music and recitals
  • Seating capacity for up to 50 guests
  • One regularly tuned Yamaha baby grand piano
  • Professional sound equipment including microphone and amplifier
  • Bluetooth-compatible amp for background music/vocal tracks
  • Stage chairs and foot stand for guitar players
  • Four (4) piano benches available
  • Multiple professional music stands
  • Climate-controlled environment
  • Restroom facilities

1.2 Included Equipment. The rental fee includes use of the Yamaha baby grand piano, piano benches, two music stands, basic stage lighting, and restrooms as listed above. Additional equipment requests must be approved in advance and may incur additional fees.


2. RENTAL FEES & PAYMENT TERMS

2.1 Rental Fee. Total Rental Fee is listed according to our published pricing chart at the time of booking.

2.2 Security Deposit. A refundable security deposit of $500 is required to secure the booking. This deposit will be refunded in full within 14 days after the event, provided there is no damage to the venue or equipment and all terms of this agreement are met.

2.3 Payment Schedule.

  • Security deposit due at contract signing
  • 50% of booking balance due 30 days before event date
  • Final payment due at least 14 days before event date

2.4 Payment Methods. Payments may be made by check (payable to “Musipire”), credit card, or bank transfer. Cash payments are also accepted.

2.5 Late Payment. If final payment is not received 14 days before the event date, Musipire reserves the right to cancel the reservation and retain the security deposit.


3. PERFORMANCE GUIDELINES & TIME MANAGEMENT

Important Time Management Guidelines:
These guidelines are based on our 22 years of experience hosting successful concerts. Following these recommendations ensures an excellent experience for both performers and audience members.

3.1 Recommended Performance Duration.

  • For 60-Minute Rental: Keep actual performance time to 45 minutes maximum to allow for entry, exit, and brief photo time (5-10 minutes)
  • For 2-Hour Rental: Performance time should not exceed 90 minutes, allowing 30 minutes for setup, transitions, and photos
  • For 3-Hour Rental: Performance time should not exceed 2 hours and 30 minutes, with remaining time for setup/breakdown

3.2 Timing Recommendations. While we do not strictly limit the number of performers, we strongly recommend the following based on our experience:

  • For concerts with mostly beginner students (1-2 minute pieces): Up to 15 performers
  • For concerts with intermediate students (2-4 minute pieces): 10-12 performers optimal
  • For concerts with advanced students (5+ minute pieces): Adjust performer count accordingly to stay within recommended performance time
  • Individual piece duration should include time for stage entrance, performance, bow, and exit

3.3 Time Allocation. Renter’s reserved time includes ALL activities:

  • Arrival and setup
  • Sound check (if needed)
  • Performer preparation
  • Actual performance
  • Photo opportunities
  • Clean-up and departure

CRITICAL: Renter must vacate the premises by the end of the reserved time period. Additional time may be available for a fee if scheduled in advance.

3.4 Overtime Charges. If the event runs beyond the reserved time without prior arrangement, an overtime fee of $100 per 30 minutes (or portion thereof) will be charged.


4. CANCELLATION POLICY

4.1 Renter Cancellation.

  • More than 30 days before event: Full refund minus $50 processing fee
  • 14-29 days before event: 50% refund of total rental fee
  • Less than 14 days before event: No refund

Cancellations must be submitted in writing via email to support@musipire.org

4.2 Musipire Cancellation. Musipire reserves the right to cancel this agreement due to force majeure (including but not limited to natural disasters, public health emergencies, facility damage, or government restrictions). In such cases, all payments will be refunded in full, but Musipire shall have no further liability.

4.3 Rescheduling. Event may be rescheduled once without penalty if requested at least 30 days in advance and subject to venue availability. Additional rescheduling requests may incur a $100 administrative fee.


5. INSURANCE & LIABILITY

MANDATORY INSURANCE REQUIREMENT: All renters are required to provide proof of liability insurance as outlined below. No exceptions.

5.1 Insurance Requirement. Renter must obtain and maintain, at Renter’s own expense, a Comprehensive General Liability Insurance Policy with minimum coverage of:

  • $1,000,000 per occurrence for bodily injury and property damage
  • $2,000,000 general aggregate

The insurance certificate must:

  • Name “Musipire Inc.” as Additional Insured
  • Be provided to Musipire at least 14 days before the event date
  • Be valid for the entire rental period

5.2 One-Day Event Insurance. For renters who do not maintain ongoing liability insurance, one-day event insurance is readily available through providers such as:

  • EventHelper.com (starting ~$75-$150)
  • Markel Event Insurance
  • ACT Insurance
  • The Event Helper (specializes in performance events)

5.3 Indemnification. Renter agrees to indemnify, defend, and hold harmless Musipire Music School, its owners, employees, and agents from any and all claims, damages, losses, and expenses (including attorney’s fees) arising out of or resulting from:

  • Renter’s use of the premises
  • Any act or omission by Renter, its employees, guests, or invitees
  • Any injury to persons or damage to property occurring on the premises during the rental period

5.4 Limitation of Liability. Musipire shall not be liable for any injury, loss, or damage to persons or property belonging to Renter or Renter’s guests. Renter is responsible for the security of all personal property brought into the venue.


6. FACILITY USE & CONDUCT

6.1 Permitted Uses. The venue may be used for:

  • Music recitals and concerts (classical, jazz, contemporary)
  • Music auditions and examinations
  • Small chamber music performances
  • Music teacher studio recitals
  • Recording sessions (acoustic only)
  • Master classes and workshops

6.2 Prohibited Uses & Activities. The following are strictly prohibited:

  • Dance performances (floors are not sprung)
  • Amplified music exceeding 85 decibels
  • Smoking, vaping, or use of tobacco products anywhere in the facility
  • Alcoholic beverages without prior written approval
  • Food and beverages near the piano or stage area (light refreshments permitted in designated seating area only)
  • Decorations that require nails, tacks, tape, or adhesives on walls, floors, or ceilings
  • Open flames, candles, or pyrotechnics
  • Confetti, glitter, or similar materials
  • Moving or repositioning the piano without permission

6.3 Capacity Limits. The venue has a maximum capacity of 50 persons (including performers, teachers, audience, staff, helpers, and all attendees). This limit must be strictly observed for safety and comfort.

6.4 Noise Restrictions. Renter must comply with all local noise ordinances. Sound checks and rehearsals must occur within the reserved rental time.

6.5 Children. Children under 12 must be supervised by an adult at all times. Renter is responsible for any damage caused by minors.


7. EQUIPMENT & PROPERTY

7.1 Piano Care. The Yamaha baby grand piano is a valuable instrument and must be treated with care:

  • No food, drinks, bags, or foreign objects may be placed on or near the piano
  • The piano is regularly tuned; do not attempt to tune or adjust it
  • Only trained pianists should operate the piano
  • The piano may not be moved under any circumstances
  • Any damage to the piano will result in repair costs charged to Renter

7.2 Sound Equipment. Sound equipment (microphones, amplifiers) is available for rental and use. Renter must:

  • Test equipment during designated sound check time
  • Return all equipment to its original location after use
  • Report any malfunctions immediately
  • Not modify or adjust settings beyond volume control

7.3 External Equipment. Renter may bring external equipment subject to prior approval. All electrical equipment must be in good working condition with proper safety certifications. Musipire is not responsible for any damage to or theft of Renter’s equipment.

7.4 Venue Condition. Renter must leave the venue in the same condition as received. This includes:

  • Removing all personal belongings and decorations
  • Disposing of all trash in provided receptacles
  • Returning all chairs and stands to original positions
  • Turning off all lights and equipment
  • Reporting any damage or issues immediately

7.5 Damage & Repair Costs. Renter is financially responsible for any damage to the venue, equipment, or furnishings caused during the rental period. Repair or replacement costs will be deducted from the security deposit. If costs exceed the deposit, Renter agrees to pay the difference within 30 days.


8. ACCESS & SECURITY

8.1 Venue Access. Renter will receive access instructions 48 hours before the event. Access is limited to the reserved time period only.

8.2 Early Arrival/Late Departure. Early arrival or late departure beyond the reserved time must be arranged in advance and will incur additional hourly charges.

8.3 Security Deposit Return. The security deposit will be returned within 14 business days after the event, provided:

  • No damage has occurred to the venue or equipment
  • The venue was left clean and in good order
  • All rental terms were followed
  • No overtime charges were incurred

8.4 Final Inspection. A Musipire representative may conduct a brief inspection after the event. Any issues will be documented and photographed.


9. PARKING & ACCESSIBILITY

9.1 Parking. Street parking is available in the surrounding area. Musipire does not provide parking and is not responsible for parking tickets or towing.

9.2 Public Transportation. The venue is conveniently located near public transportation, including the 7 train and multiple bus lines.

9.3 Loading/Unloading. Brief loading/unloading is permitted in front of the building. Vehicles must be moved to legal parking immediately after unloading.


10. RECORDING & MEDIA

10.1 Recording Permission. Audio and video recording for personal use is permitted. Commercial recording or filming requires advance written permission and may incur additional fees.

10.2 Photography. Photography and videography are allowed during the event.

10.3 Live Streaming. Live streaming of performances is permitted with advance notice. Renter is responsible for all technical equipment and internet connectivity required for streaming.


11. ADDITIONAL TERMS

11.1 Entire Agreement. This Agreement constitutes the entire agreement between the parties and supersedes all prior negotiations, representations, or agreements. Any modifications must be in writing and signed by both parties.

11.2 Governing Law. This Agreement shall be governed by the laws of the State of New York. Any disputes shall be resolved in the courts of Queens County, New York.

11.3 Severability. If any provision of this Agreement is found to be unenforceable, the remaining provisions shall continue in full force and effect.

11.4 Assignment. This Agreement may not be assigned or transferred by Renter without prior written consent of Musipire Inc.

11.5 Force Majeure. Neither party shall be liable for failure to perform due to causes beyond reasonable control, including acts of God, war, strikes, government restrictions, pandemics, or facility emergencies.
